The benefits of an E-Tender event.

Definition of an E-Tender

An internet based process wherein the complete tendering process; from advertising to receiving and submitting tender-related information are done online. This enables firms to be more efficient as paper-based transactions are reduced or eliminated, facilitating for a more speedy and efficient exchange of information as no e-mail or paper is being used. The data is presented in a consistent format to both the supplier and the buyer.

This service is provided by Marketdojo’s SAAS (Software as a Service) platform.

Convenience Suppliers, No Paper

The entire process is digital, saving paper for all parties involved in this process. Suppliers, therefore, do not have to deliver impressive books with their offering.

In addition, this way of working saves time for all parties involved, as e-mail is not used.

All the data resides in one place

During the RFX phase all documents and answers are stored in a secure location of the scalable Google Cloud Platform, where the various SAAS applications run by Marketdojo  are hosted. This data can be exported at the end of the RFx process.

Monitoring of the RFP process

After the RFx has been made available to the suppliers, the host keeps track of the activities of the providers and can intervene in a timely manner during the entire process.

Minimal chance of data loss.

When communicating via Email, there is always the chance that an email is inadvertently sent to an incorrect person. Using the E-Sourcing tool this risk is largely eliminated which reduces the chances of data loss.A case of data loss needs to be reported and can have consequences in terms of penalties by the authorities.

Auditable.

The entire RFX process can be completely audited, which is important for the ethical standards in an RFP process.

Efficiency gain by using templates

When a certain RFX takes place several times a year, it is useful to use a previously created template so that a subsequent RFX process requires a minimum amount of time and effort by merely making the necessary changes.

What are the useful features of the E-Sourcing module?

Consistent numbering

It is always possible to keep the numbering consistent, which makes applying changes easy during the creation of the template.

Flexible points count

Weighing factors can be assigned to the different modules, so it is easy to determine the extent to which the different parts of the application count for the final result.

Template

For recurring quote applications, a template can be used, which will save time because only the changes need to be made. The template is an ordinary Excel file, which makes it possible to transfer existing Excel files within an organization to the RFP module.

Structured way of asking questions.

The following options are available:

  • Open questions.
  • Conditional questions.
  • Multiple choice questions.
  • Knock-out criteria.

E-TenderThis option allows suppliers to answer well structured questions, which makes the E-Tender process transparent. Both the host and the suppliers have the ability to upload documents, which also allows for more flexibility if this is required by the RfX process.

What are the fees for the E-Tender module?

The costs are the license fee for one month, which is 700 Euros excluding V.A.T, plus the consultancy costs that need to be determined in advance. Does the E-Tender also lead to an E-Auction, then there is no additional license fee applicable for the E-Auction.
